Laptops have replaced tin PCs in many areas of life, and they are a work tool in almost every company. However, employees and employers are not aware that there is a penalty for using a laptop inappropriately.

Laptops do not take up much space, they are easy to carry, you can take them on a trip – that’s it only advantages compared to traditional PCs. However, using such a computer at work is associated with: with specific legal requirements.

From November 17, 2023, work only in front of a laptop, without additional equipment in the form of, among others, a screen monitor or a stand that allows the screen to be positioned so that its top edge is up at the employee’s eye levelis no longer compliant with occupational health and safety regulations – reminds the Infor portal.

An employee with only a laptop? The employer will pay the penalty

Nearly a year ago, November 17, 2023, the regulation entered into force Minister of Family and Social Policy amending the previous regulation on occupational health and safety at positions equipped with screen monitors. The obligation applies to employees who work for laptops at least 4 hours within one business day. The form of employment (full-time or part-time) does not matter here.

Moreover, the regulation not only specifies the height at which the screen should be located, but also introduces the requirement to use an additional keyboard and mouse.

In certain cases, the regulation only applies from May 17, 2024, however it should now be widely used. Working all day in front of a laptop without any additional equipment is OK inconsistent with occupational health and safety rules. Additionally, employees have the right to ergonomics chair or armchairand even on request footrest.

However, as Infor points out, many employees he still works exclusively on laptops all day. This proves low awareness of this requirement, both among employees and employers.

Employers for failure to meet occupational health and safety requirements related to the work of employees using laptops threatens to be punished. They may be fined for failing to comply with occupational health and safety rules from 1,000 to even 30 thousand zloty.
